Job Title: Investigative Assistant (Legal Industry) 

We are seeking a full time highly organized and proactive Investigative Assistant to provide comprehensive support to the employment law firm Medina McKelvey LLP’s Investigations Practice Group (“MMI”).  MMI specializes in conducting neutral workplace investigations of harassment, discrimination, retaliation, and other employment-related workplace concerns.  MMI prides itself on providing thorough and prompt investigations with an empathy-forward approach.   

The Investigative Assistant position is a dynamic role with responsibilities that include investigation record management, scheduling, transcription of detailed notes of investigative interviews, management of new engagements and disengagements, interfacing with witnesses, research, and general administrative support.   

The ideal candidate will be detail-oriented, capable of handling multiple tasks efficiently, have strong emotional intelligence, and thrive in a fast-paced environment. A commitment to professionalism, responsiveness, and the ability to anticipate needs is key to success in this role. 

Key Responsibilities: 

  • Investigation Administration – MMI Case Assistant  

  • Update investigation charts, collect and organize interview notes, and prepare investigation reports for attorneys. 

  • Proofread documents, maintain investigative timelines, and ensure proper documentation. 

  • Attend interviews and transcribe notes. 

  • Support attorneys with interview scheduling, document collection, and investigation report preparation. 

  • MMI Client Process Management  

  • Draft and revise engagement and disengagement letters under the Partner’s supervision. 

  • Manage conflict checks, retainer collection, and file management for new cases. 

  • Collaborate with accounting on billing matters and refund processes. 

  • MMI Administrative Support 

  • Maintain resource libraries, templates, and ensure proper usage by attorneys. 

  • Assist with marketing materials related to investigations and collaborate on firm marketing efforts. 

  • Expense Reimbursements  

  • Track expenses and maintain receipts. 

  • Submit reimbursement requests and update the shared folder with receipts. 

  • Administrative Assistant to Senior Counsel  

  • Scheduling: Coordinate meetings, adjust calendars, and protect work-life balance for Senior Counsel. Provide technical support for virtual meetings. 

  • Travel Coordination: Research and book travel arrangements, ensuring tailored schedules for the needs of Senior Counsel. 

Skills & Qualifications: 

  • Must be excited by a fast-paced environment. 

  • Strong emotional intelligence. 

  • Must be proficient at typing, with a high words per minute. 

  • Highly organized and systematic while maintaining an adaptive and growth mindset. 

  • Able to manage multiple matters and priorities. 

  • Strong communication skills, both written and verbal, while demonstrating strong emotional intelligence and compassion. 

  • Proficiency in virtual meeting technology and scheduling software. 

  • Experience in electronic document management systems and a high comfort level with leveraging new technology. 

  • Ability to anticipate needs and respond proactively. 

  • Meticulous attention to detail, with an appreciation of the importance of error-free work. 

  • A proactive, flexible approach to work, with a willingness to take on new tasks and challenges as needed. 

  • A minimum of 2 years of experience supporting professionals or lawyers, preferably in a law firm or professional services environment; or a minimum of 2 years of experience in a human resources department that manages employee relations issues; or a minimum of 1 year serving as a case assistant or paralegal clerk in a law firm environment or equivalent studies, such as a paralegal studies certification.

Compensation and Benefits: 

  • We reasonably anticipate that the range for this position’s starting wages will be between $28 and $31, based on factors such as qualifications and experience.
